The problem
Can a project’s WhatsApp group be created straight from the assignment step, without a premature welcome message?
Consultants or someone from operations created each project’s WhatsApp group by hand, and it was often unclear who to add: which project manager, which coordinator.
The system
- An Add WhatsApp group step in the PMT: pick who to add, and the assigned project manager and coordinator, the consultant and the customer are added automatically, with a welcome message for the customer.
- WhatsApp sometimes sends the client an invite instead of adding them, so the welcome message reached a group they had not joined. A flag and a scheduled job now hold the message until the client is in the group.
What failed
- Testing showed WhatsApp privacy settings can stop a client joining straight from an invite, so a welcome message sent at creation could reach an empty group. It now waits until the client joins.
Impact
Every project gets its group with the right people, and the client always sees the welcome message.
